myACE Requests Process

Read the instructions below to complete all travel requests through the Service Provider: Tubey Services

(TRAVEL REQUEST FORM IS NO LONGER REQUIRED)


Please follow the instructions below:

1. Visit the myACE Store: 
     a. Select the Service Provider: Tubey Services 
     b. Select the appropriate color for the Travel Request category.
     c. Complete the checkout process. 

 
2. Complete the new Service Verification Form (SVF) to confirm travel request details: 
     a. You are no longer required to book a service verification appointment. Complete the new SVF here.

     b. Visit the desired website for the airline, bus, uber, or train company to book your travel.

  • Once your desired travel location is in the cart, upload your cart or copy the link into the Service Verification Form (SVF).   

  • Follow the same process for lodging requests.

     c.  Your SVF must be submitted for approval at least 7-10 business days before scheduled event. 

  • Your request must also be approved before being forwarded to the Service Provider. 

     d. You may not add additional expenses after you have received approval. 
     e. You may request additional assistance from the SSC, if needed. 

3. Travel requests may be limited to one submission in the following circumstances:
     a. Student cannot request separate lodging if two or more ACE students or siblings attend the same college visit and                stay overnight in the same hotel room. (e.g., Using this example, only one student can request lodging).

  • Lodging/Hotel stays are limited to two nights (Additional nights may be approved on a case-by-case basis).

     b. There must be an educational component associated with all travel requests. (e.g., If you attend a cultural                                      event/Powwow, travel will only be covered for the day(s) you are learning. Basket weaving or beading are great                         examples of learning components. Solely recreational activities will not be approved).


**Please Note:

     a. Only one example is listed and is not inclusive of all scenarios. Each form will be assessed on a case-by-case basis.

     b. Travel requests are for ACE students only, not parents/guardians (e.g., Lodging and transportation can only be                          covered for the participant that is attending the event/activity).

 

     c. Travel requests for college visits are only permitted for high school sophomores, juniors, and seniors.

(PURCHASE ORDER REQUEST FORM IS NO LONGER REQUIRED)

Please follow the instructions below:


1. Visit the myACE Store: 

    a. Select the Service Provider: Tubey Services

    b. Select the appropriate color for the one or more of applicable categories: School supplies, Internet, Activity/material             fees.    

    c. Complete the checkout process. 

2. Complete the new Service Verification Form (SVF) to confirm purchase request details: 

    a. You are no longer required to book a service verification appointment. Complete the new SVF here

  • You may receive additional assistance from the SSC, if needed. 

  • We recommend completing your SVF at least 10 business days in advance of the need for requested items.

  • Items are not guaranteed to arrive by your scheduled service if the SVF is submitted later than the 10 day recommendation.

    • We do not process same day orders.

    b. The service provider (Tubey Services) has 7 - 10 business days to process your order, not including shipping.

  • Submit your request as early as possible to increase your chance of receiving your items on time.

  • Quick shipping times are not guaranteed. 

    c. Visit the website(s) where desired products are located and add desired items to the cart and upload into the SVF.

  • Please select items from the following stores: Walmart, Target, Best Buy, Apple, Barnes & Noble, Cavender's, Stateline Tack, Riding Warehouse and Amazon. Uniforms may be requested from Lands' End, Children's Place, or Dillard's.

    • Exceptions may be made on a case-by-case basis for specialty items and uniforms. 

  • Once items are in the cart, upload  a copy of the cart or copy the link into your Service Verification Form (SVF). 

  • Your cart must be submitted and approved before being forwarded to the Service Provider.
